Maple SG Personal Data Privacy Statement And Consent

1. Your personal data privacy is important to us, and we understand the significance of personal data privacy and are fully dedicated to preserving the confidentiality and security of your personal data that may be in our possession. We kindly request that you carefully review this privacy statement as it entails crucial information about how we will/may collect, utilize, disclose, and process your personal data that we either possess or you provide to us. In this document, the term “personal data” refers to any information, whether true or not, about you, from which your identification can be reasonably and directly established either (a) from that data alone, or (b) from that data and other information that we have access to or may have access to.

2. In this Personal Data Privacy Statement and Consent document, the words “we”, “our”, “us” and “Maple” refer to Maple SG Pte Ltd and its successors and assigns.

3. To process, deal with and/or manage your application and enrolment for residency at Maple Residences (“Application”), it is necessary for us to collect, use, disclose and/or process your personal data. The personal data collected will include information you have provided in your application forms and documents, and any other personal information obtained by us. Examples of such personal data include your name, identification number, academic status and results, program, personal contact details, citizenship, medical and disability information, bank account details, photographs, and any other relevant personal data.

4. In the event that you decline to give consent, withdraw your consent, or fail to provide certain personal data to us, or prohibit us from processing your personal data, we may be unable to process, manage, or deal with your Application. This may impact our ability to consider and/or process your Application, and may prevent us from accepting you as a resident. The extent of the impact on your Application will depend on the specific personal data you do not provide, or the Purposes for which you do not consent (or withdraw consent).

5. We will/may collect, use, disclose and/or process your personal data for one or more of the following purposes:

(a) processing, administering, managing, renewing and/or continuing your residence Application with Maple or any other organisation that Maple is collaborating with and addressing any matter or issue which may arise in relation to your Application;

(b) carrying out due diligence or other screening activities (including security and background checks) in accordance with legal or regulatory obligations or our risk management procedures that may be required by law or that may have been put in place by us, including obtaining references and/or other information about you from your previous education institute(s) and/or organisation;

(c) carrying out your instructions or responding to any enquiry given by (or purported to be given by) you or on your behalf;

(d) contacting you or communicating with you via various modes of communication such as phone/voice call, text message, email and/or postal mail for the following purposes:

You acknowledge and agree that we may communicate with you through the mailing of correspondence, documents, or notices, which may involve the disclosure of certain personal data about you to facilitate delivery. This may also include the display of personal data on the external cover of envelopes or mail packages;

(a) preventing or investigating any fraud, unlawful activity or omission or misconduct, whether relating to your Application.

(b) complying with or as required by any applicable law, governmental, regulatory, security or audit requirements of any relevant jurisdiction, including meeting the requirements to make disclosure under the requirements of any law binding on us and for the purposes of any guidelines issued by regulatory or other authorities, whether in Singapore or elsewhere, with which we are expected to comply;

(c) complying with or as required by any request or direction of any governmental authority; (whether Singapore or non-Singapore); or responding to requests for personal data or information from hospitals, embassies, public agencies, ministries, statutory boards or other similar authorities (whether Singapore or non-Singapore) (including but not limited to the Ministry of Defence, Ministry of Education, Immigration and Checkpoints Authority, Ministry of Health, Ministry of Home Affairs, Ministry of Manpower, Ministry of Foreign Affairs, Ministry of Social & Family Development and Central Provident Fund Board);

(d) dealing with immigration related matters where you are a non-Singaporean. In this regard, this includes but is not limited to disclosing to the relevant government authorities details about you for immigration related matters;

(e) dealing with, handling and/or conducting future / potential security and quality assurance processes, matters and/or arrangements. Without prejudice to the generality of the aforesaid, we wish to bring to your attention that there are surveillance cameras installed throughout the premises of Maple Residences for security reasons and you acknowledge that your personal data will be collected by such cameras and processed by us consequently;

(f) performing internal administrative, operational and technology tasks to facilitate, administer or manage your Application;

6. You acknowledge and agree that we may communicate with you through the mailing of correspondence, documents, or notices, which may involve the disclosure of certain personal data about you to facilitate delivery. (g) data analysis, producing statistics (to better inform ourselves of efficiency or issues relating to the applications processes and trends) and research for internal and/or statutory reporting and/or record-keeping requirements and performing university policy/process reviews.

(collectively referred to as the “Purposes”).

7. You acknowledge, agree and provide consent, unless otherwise required, that we have the right to collect, use, and process your personal data, and to disclose such data to third parties (whether situated within or outside of Singapore) for one or more of the aforementioned purposes. These third parties are subsequently permitted to collect, use, disclose, and/or process your personal data for one or more of the above purposes. In addition to those specified in paragraph 5, such third parties may include, without limitation, the following:

(a) organisations with which or whom we are collaborating and/or partnering for one or more of the Purposes;

(b) individuals, organisations and/or any government authority who may provide you with Scholarship or Financial Aids during your intended period (or part thereof) of studies in Nanyang Technological University and who request for information relating to your Application or any other applications with Nanyang Technological University;

(c) any of our agents, contractors or third party service providers who process your personal data on our behalf including but not limited to medical centre(s), those which provide administrative or other services to us such as mailing houses, telecommunication companies, manufacturers/suppliers/printers of university publications, data storage centre service providers, backup data service providers and information technology companies;

(d) organisations and/or educational institutions which are involved in exchange programmes and/or joint degrees with Nanyang Technological University, the provision of products and/or services relating to your Application or your status as a student (if your Application is accepted by Nanyang Technological University), student learning or academic courses, Financial Aid and Scholarship;

(e) government authorities, public agencies, ministries, statutory boards or other similar authorities (whether Singapore or non-Singapore) including their appointed agents, contractors or third party service providers for the fulfilment of any of the above Purposes;

(f) your NOK (which is defined under paragraph 7 below); and/or

(g) third parties which are receiving your personal data for one or more of the Purposes.

These provisions are intended to facilitate the provision of products and/or services in connection with your Application. We will not disclose to a greater extent than is provided and which we determine in good faith to be necessary.

8. We may, for any of the Purposes or matters notified in this statement, contact individuals which are identified to us and verified as being your next of kin / parent / legal guardian (collectively, your “NOK”) to the extent reasonably necessary to execute the Purposes. Where so, we will Communicate with your NOK using records provided and verified to us. You will be required to update and verify any contact particulars at all times as we will use the last known or verified version of such particulars to do so.

9. You have the right to withdraw your consent given hereunder, whether in part or as a whole. However, your withdrawal of consent could result in certain legal consequences arising from such withdrawal. In this regard, depending on the extent of your withdrawal of consent for us to process your personal data, it may mean that we will not be able to consider or continue processing your application to be a resident of Maple. Should you wish to withdraw your consent in part or whole, please submit your request by emailing us at: pdpa@maplesg.com and provide details of your withdrawal.

9. For the avoidance of doubt, in the event that Singapore personal data protection law permits an organization such as Maple SG to collect, use or disclose your personal data without your consent, such permission granted by the law shall continue to apply.

10. Protection of your Personal Data
We ensure to take reasonable precautions to safeguard personal data that we have in our possession or control from loss, misuse, modification, or unauthorized or accidental access, disclosure, alteration or destruction. We will implement appropriate technical and organizational security measures to manage and protect the personal data we process, and we will make sure to comply with these measures.

11. Where we store your personal data
The internet is used globally, and using it to collect personal data may involve sending the data to another country. We collect personal data from you that may be transferred, accessed, and stored outside Singapore, but we will ensure that it is always held securely and in compliance with applicable data protection laws and regulations. However, please note that communication over the internet is not secure unless encrypted.

In order to fulfill our purposes, we may need to transfer your personal data outside Singapore to third-party processors working for us or our suppliers. We will only transfer your personal data to parties who agree to keep it confidential or as required by data protection laws. These third-party processors may be involved in fulfilling your order, processing payment details, and providing support services. When we transfer personal data to third parties outside Singapore, we require them to implement appropriate technical and organizational security measures to comply with Singapore data protection laws and regulations and protect your individual rights. By using our services, you agree to the transfer of your personal data outside Singapore for the above purposes.

12. Retention Period of your Personal Data
We will stop keeping documents that contain personal data or remove any identifying information when it is reasonable to assume that the purpose for which we collected the personal data is no longer being served, and keeping the data is not required for legal or business reasons. However, we reserve the right to keep and retain your personal data for as long as necessary for business, tax, or legal purposes.

13. Personal Data from other Individuals and Minors
If you provide or have provided personal data about your family members, spouse, or other dependents, you must confirm that you have informed them that their personal data will be processed by us, and you represent and warrant that you have obtained their consent to the processing, disclosure, and transfer of their personal data in accordance with this Privacy Policy.
Please note that our website is intended only for individuals who are at least eighteen (18) years old. If you are a minor or someone who is not legally competent to give consent, you will require a parent or legal guardian’s consent to process your personal data in accordance with this Privacy Policy. We do not knowingly collect personal data from minors without a legal basis or offer our products and/or services to them. If we become aware that we have received personal data from minors without legal basis, we will delete it from our database. If you are a minor, please do not provide any personal data to us, including your name, age, gender, email address, contact information, or anything else. Kindly consult your parent(s) or legal guardian(s) before visiting any website.

14. Others
The company has the right to modify or update this Privacy Policy at any time without prior notice in order to reflect changes in its procedures for protecting Personal Data or to comply with regulatory changes. The latest version of the Privacy Policy will always be available on our websites. We will notify you of any material changes to this Privacy Policy through announcements on our Company website or any other appropriate means. Please review this Privacy Policy every time you engage with us to ensure that you agree with it.

*By continuing to use our services, purchasing products and/or services from the Company, or engaging with the Company after any changes or revisions to this Privacy Policy, you will be deemed to have agreed to and accepted those amendments.

If you do not agree to this Privacy Policy or any amendments to this Privacy Policy, we may not be able to provide all services to you, and you may need to terminate your relevant agreement with us (which is defined under paragraph 8 above), stop accessing or using our website, and/or stop engaging with us.
